3 Tools to Facilitate Remote Work
Remote work is a part of every business. There are several benefits to working remotely both for the remote worker and the business:
- Cost savings on transportation.
- Flexibility to work in a persons preferred environment.
- Reduction in the time spent in traffic.
- Reduction in the real estate required for housing staff.
- Quick and easy video conferencing to tie staff back to the firm.
Working remotely can be greatly beneficial for a firm – provided that the employees are equipped with the necessary tools to work remotely without compromising on security and data accountability.
Even with the above benefits, there are concerns. Working remotely is not always simple. Not all workers in an organization may be self-motivated enough to work without management overseeing them. Data security and confidentiality concerns are also heightened when employees access documents from remote locations. There are 3 essential tools that can greatly improve the experience of working remotely,
- Document Storage/Sharing Platform
In order to effectively work remotely, employees need to be equipped with a document storage platform that contains all the business relevant documents and one that allows for the employees to share and retrieve this data. TriCloud File Storage powered by Citrix ShareFile allows a business to do just that!
Using this service, internal teams and their clients can access, sync and securely share files from anywhere, using almost any device. This greatly promotes remote work and allows for collaboration with other team members. TriCloud File Storage also supports file sync and share in virtualized environments making it easier for the firm to expand its network and allow for remote users. The administrator in the environment can control what information the rest of the employees can see and have access to. Clients can be sent share links of external links and it is easy to put an expiration timeframe on the shared links.
- Virtual Private Network (VPN)
Establishing a VPN allows the user to work on a safe and encrypted connection over a less secure network, such as the internet. For employees working remotely, they can now securely access corporate applications and other resources. A VPN uses a variety of protocols to provide security for employees working remotely, including but not limited to:
- IP Security (IPsec)
- Point-To-Point Tunneling Protocol (PPTP)
- Secure Sockets Layer (SSL)
- Transport Layer Security (TLS)
A remote access VPN essentially enables a user to access a private network from a remote location. The user needs a laptop or desktop connected to the internet to have access to the private network. This allows the individual users to establish a safe connection with a remote computer network. The VPN is a conduit to a server providing access to the resources of the network. Thus, people can connect to their desktop or to a remote access server through the VPN connection.
- Video Conferencing (with VOIP and document sharing option)
It is crucial that remote workers have an effective video conferencing application that allows the user to share documents seamlessly over a reliable audio/video connection. GoToMeeting and Skype are great tools for effective video conferencing.
GoToMeeting allows users to hold meetings from mobile devices such as laptops and mobile phones without losing out on functionality. With this application you can use the Built in Audio features to choose between VoIP and land line based options at no extra cost, or use the Call Me option to join the meeting by simply picking up the phone. This will allow remote workers to seamlessly stay connected to their office and hold client meetings too.
